This SOP outlines the steps to automate scheduling using the auto staffing feature in the Off-DutyBlue system, ensuring efficient management of officer shifts.
Key Steps #
1. Accessing Auto Staffing Feature 0:03
- Log in to your client portal
- Navigate to either the Details tab or the Calendar tab, where you manage details
- Click the ‘Add Special Event’ button, or choose to edit a detail that has already been created
2. Enabling Auto Staffing 0:21
- Enter all necessary detail information.
- Click on the auto staffing option to enable it.
3. Selecting Applicants 0:39
- Specify the number of applicants to select (e.g., 2).
- Choose the selection criteria:
- First-come, first-served
- Shifts this month
- Hours this year
- Other criteria set in the administration tab.
4. Setting Selection Date and Time 0:47
- Pick a specific day and time for the selection (e.g., 19th at noon).

- Review the summary of the selection process.
- Understand that officers will be notified of their selection status.
6. Continuous Applicant Search 1:40
- Note that if there are not enough applicants by the scheduled assignment time and date, auto staffing will continue to search for applicants daily at the same time until the shift is filled.
7. Closing the Shift 2:12
- Use the toggle to close the shift once the required number of applicants is filled.
- Receive notifications about the filled shift.
8. Handling Shift Give-Ups 2:29
- If an officer gives up a shift, the auto-staffing feature will revert to the original list of applicants and offer it to the next applicant in line based on the original assignment method.
9. First Come First Serve Reopening 3:32
- If none of the previously unselected applicants are available or interested in the shift, the system will notify officers that the shift is available again.
- The application will accept new applications and assign them via “first-come, first-served”, or every 24 hours, based on the original auto-staffing criteria, depending on your administrative preferences.
